Exclusive Period For Waitlisted Customers - Setting Combinations

Scenarios:

  1. You are running an activity on Enrolmy for which you have enabled the waitlist function

  2. You have bookings on a waitlist

This document assumes the following

  1. You know how to set up your activity with the waitlist function switched on

  2. You know the business rhythm of the activity

  3. You run either holiday programmes or Before and After School Activities

  4. You have attendee caps that you need/want to abide by

Waitlisted customers will be given an unlimited exclusive period which means that spaces are always reserved for attendees on the waitlist, however, they will not be able to move themselves off the waitlist - this will need to be actioned by the provider. The waitlist will continue to work as the below:

Waitlisted attendees will not be given an exclusive period and will not be able to move themselves off the waitlist if spaces become available. This will need to be actioned by the provider. Spaces that are made available can be booked by new customers that are not on the waitlist.

When a provider increases the number of spaces in a session (ie increases the session cap), an exclusive period begins where customers on the waiting list will be able to take up those available spaces, however not by themselves - this will need to be actioned by the provider. New bookings will continue to go on to the waiting list during this period.

At the end of 30 minutes, places will open and may be taken by new bookings.

Waitlisted customers will be given an unlimited exclusive period which means that spaces are always reserved for attendees on the waitlist. Waitlisted attendees will be notified and can action accepting the space or rejecting it.

Spaces that are made available can be booked by new customers that are not on the waitlist as waitlisted attendees are not given an exclusive period.

However, waiting list customers will still be able to update their bookings from Wait List to Booked so long as places remain available.

When a provider increases the number of spaces in a session (ie increases the session cap), an exclusive period begins where customers on the waiting list will be able to take up those available spaces by themselves. New bookings will continue to go on to the waiting list during this period.

At the end of 4 hours, places will open and may be taken by new bookings. Waitlisted attendees can still gain a place if there are spaces available.
