Setting up the Enrolmy Kiosk

The application provides the ability to log the sign in, and out times of children.

Once you have agreed to have your sign in procedure available through an iPad or Tablet, you will be given the URL to access this.

You will then load up the site on your device, save it as a bookmark to access each day.

The Activities that you currently run will be the only ones which will display each day.

 

Daily Sign In

When you select the Enrolmy Icon the page will load and require you to sign in:

Once you have signed in you will see your current daily activities listed

1. The parent will arrive and select the Activity they are signing their child into

2. They will then select the Sign In button

3. This will display a list of names and a check box to the side of their name

4. The parent selects their child or the child they are aurthorised to sign in, and click the Orange Sign In button

5. The parent then selects who they are, or if it was the supervisor signing them in or out they would select that option

7. A Blank white square box will appear for the parent to sign on the screen, then click Submit

Q. A parent has signed out their child but their name has re-appeared on the list again, why?

A. Sometimes this can relate to your internet connection with the ipad. Double check the ipad's internet connection, and sign them in/out again.  Also a hard re-set of close and start is sometimes needed.

Q.  I have tried to mark a child absent but it is not giving me that option

A.  If you select a parents name in the ‘who are you’ screen, you won’t get the ‘mark as absent’ button because only supervisors are allowed to do that. If you select the supervisors name in the ‘who are you’ screen you will get asked to put in your pin, and then on the signature screen there should be a ‘mark as absent’ button available.

Q. My Tutor cannot see any children to sign in

A. Ensure the tutor is firstly linked to the activity in EM, Tutors can only see activities they are linked to so this would be the first thing to check.

Q. The iPad is just showing the cog going around and around

A. This could suggest a slow connection/speed, clear your cache, reload the page, or sign out and in again following the cache clearance.  Here is a tutorial to help you do this.

Once you have cleared your cache your URL will no longer auto populate your login details, so just manually re-enter your details.

If this issues arises again, but you do not have time to start clearing things, please open up your attendance sheet in "incognito mode"

Q. Children who were signed in this morning on the iPad are now showing that they are not signed in?

A. Please completely shut down the browser and restart, this should update everything for you.

Q. Will my parents signatures save if my wifi drops out?

A. Yes, as per normal, log into the tablet, select the activity you are wanting to take sign ins/ outs for and leave open for parents to sign... if the wifi drops out, all the sign in/out data that has been taken will be saved to the application, you can still take new sign in/out signatures. Once the wifi is back up and running, this data will flow through to your Enrolmy account and update on the desktop.

Q. iPad sign in/out interface no longer gives the parent caregivers names as an option to tick when they sign their child out

A. This could be caused by a temporary error, please refresh the tablet app then the problem most likely will fix itself.

A parent or activity provider has the ability to do this by selecting the child, selecting their own name, taking a digital signature and then clicking submit. The sign in/out time is logged when the submit button has been pressed.

Overview of state of this release:

The application provides the ability to log the sign in, and out times of children. A parent or activity provider has the ability to do this by selecting the child, selecting their own name, taking a digital signature and then clicking submit. The sign in/out time is logged when the submit button has been pressed.

This application operates in full screen mode and once the submit button has been pressed, the application should return to the sign/out screen. This application has the ability to work offline (no internet connection) ‘once’ the parent login screen has been reached. It is advised however to use the application with a good internet connection at all times where possible.

This screen is the beginning of the ‘Kiosk Mode’.

In the bottom right there is a dark cog wheel, this is a discrete button for accessing the admin section, the admin section contains the current state of every student in the current activity.

 

Currently there are four states: not signed in, signed in, not signed out, and signed out.

 

To get access to the admin view, an admin pin is required which can be set in your “Organisation Settings-Advanced App”. In ‘Kiosk Mode’, there will either be a green or orange indicator circle at the bottom of the screen. Green indicates that all sign in/ sign outs have been saved to the server and it is safe for the application to close. Orange indicates that there are sign in/ sign outs that have been saved locally to the tablet while waiting for an internet connection. Once an internet connection has been found, the application will automatically save the rest of the sign in /out times to the server and the indicator circle will turn green once everything has been saved.

 

NB. It is a good idea to check the colour of the indicator circle at the end of the day/session to ensure it is green, if not, make sure the tablet has an internet connection and wait for the indicator to turn green.

 

The application supports the ability to merge two or more sessions together so that multiple attendance lists can be shown in one list. This is helpful if two sessions are running at the same time and the activity supervisor wants to be able to sign in/out children from multiple sessions simultaneously.

 

A health icon may appear next to a child’s name on the sign in/out list and this is to make the activity supervisor aware that that child has known health conditions. This application can be used on a mobile device and should work with most screen sizes, however it works best on a tablet device.

 

A valid organisation login is required to access the application

 

Prerequisites/caveats for running: Modern Chrome Browser on Samsung Tablet or iPad (Use Web App bookmark toapp icon for full screen). The application may work in other browsers but we cannot guarantee that all features will work so it's best to use the latest google chrome browser.

 

There is a 'I'm someone else' green box in the list of parents. This is for parents that may find their name is not on the list. They are able to type in their name and it will be saved along with the child being signed in/out.

 

Marking a child as absent is available only for supervisors and requires the admin pin. If being used in a live environment, take paper printouts of Attendance forms from the Enrolmy App as a backup should the application not work as expected.

The Front Desk

Many organisations run a front desk where they take EFTPOS and cash payment. Enrolmy can easily be used at this time.

Using an iPad sign in and out function can work really well to move away from paper processes.
