Invoice In Advance: Parent Modification Outcomes

Scenarios
  1. You are a parent with an existing Enrolmy Account and want to modify an existing booking that you have with a before & afterschool care activity provider
  2. You have already paid for your term booking upfront, but want to make a change to the same child/rens booking.
This document assumes you know the following.

Guide Overview

You have already paid for your before & afterschool care booking/s for this term. Therefore when you modify your existing booking for your children, you should understand how this will impact you financially. 

  • Add A Session/Day To Existing Booking
  • Remove A Session/Day From Existing Booking
  • Add & Remove Session/Day Simultaneously

 

Add A Session/Day To Existing Booking

This process will only be possible if your activity provider allows you to add new sessions/days to your booking. If you cannot complete the process below then reach out to your before & afterschool care activity provider directly to discuss your booking change.

1. Login to Enrolmy, head to Current Bookings and select Modify Existing Booking for the child that you want to add another session/day for.

2. Use the recurring or casual calendar to add your desired sessions/days. 

3. Review the Total To Pay section which will total the amount you will be invoiced for. 

4. Select I'm Done And Would Like To Save Changes.

5. A success notification that your booking change has been confirmed will appear on the screen.

6. An invoice will be generated for you immediately and you will be taken straight to the cart to pay for additional day/sessions that you have added to your child/rens booking.

Cancel A Session/Day From Existing Booking

This process will only be possible if your activity provider allows you to make booking cancellation changes. If you cannot complete the process below then reach out to your before & afterschool care activity provider directly to discuss your booking change.

1. Login to Enrolmy, head to Current Bookings and select Modify Existing Booking for the child that you want to cancel a session/day for.

2. Use the recurring or casual calendar to remove the days/sessions that you want to cancel.

3. Review the Total To Pay section which will total the amount you will credited for.

5. A success notification that your booking change has been confirmed will appear on the screen.

6. You will not see a credit note inside Enrolmy. However, the credit will be generated and viewable to your before & afterschool care activity provider. Your before & afterschool care activity provider will liaise with you on whether to;

  • Credit you for next term or another programme charge.
  • Refund you directly.

 

Cancel & Add Session/Day Simultaneously

This process will only be possible if your activity provider allows you to make booking modifications. If you cannot complete the process below then reach out to your before & afterschool care activity provider directly to discuss your booking change.

1. Login to Enrolmy, head to Current Bookings and select Modify Existing Booking for the child that you want to cancel and add sessions/days for.

2. Use the recurring or casual calendar to remove the days/sessions that you want to cancel and then add sessions/days that you want your child to attend instead. 

3. Review the Total To Pay section.

  • If the sessions you have cancelled (but already paid for) are equivalent to the price of the new sessions/days that you have added then your Total To Pay will equal $0.00. You will not be charged or credited again. As seen below. 
  • If the sessions you have added, equate to more then what you originally paid for you - despite cancelling a session/day the Total To Pay section will let you know that you will be invoiced. 
  • If the sessions you have added equate to a price that is less then what you originally paid, then the Total To Pay section will let you know how much will be credited for.

4. Select I'm Done And Would Like To Save Changes.

5. A success notification that your booking change has been confirmed will appear on the screen.

6. If you are to be invoiced then you will be taken to the cart and asked to pay for the outstanding invoice.
